Services Dispatcher / Field Support Rep

Round Rock, TX

This role is 100% on-site M-F and you must live within an easily commutable distance from the intersection of I-35 / 45 in North Austin / Round Rock. 

Our client is a long-established MEP specialty contractor with fabrication, construction, and service capabilities across Texas. Their Austin-area Service Division supports industrial and commercial HVAC service, maintenance, and repair operations.

This position is the front line of customer service for commercial and industrial HVAC clients. You’ll coordinate incoming service requests, communicate with technicians, managers, and estimators, and help ensure every client receives timely support. You’ll serve as a key resource for both external customers and internal teams, helping to triage calls, route information, and keep service operations running smoothly.

Though a background in in a similar industry like construction, HVAC, Mechanical or Maintenance services would be a plus it is not required. We are focused more on finding someone with the right soft skills to fit into this role long term. Most of the technical aspects of this role can be learned on the job. 

Key Responsibilities

  • Answer and route incoming service calls from commercial clients with professionalism and urgency.
  • Support the lead dispatcher in coordinating schedules for ~40 technicians daily.
  • Issue purchase order (PO) numbers, track work orders, and ensure documentation accuracy.
  • Communicate effectively between technicians, sales, and service managers to support job progress.
  • Use MS Office applications (Outlook, Excel, Word, PowerPoint) for daily coordination tasks.
  • Maintain organized digital and paper records, job information sheets, and technician resources.
  • Demonstrate strong phone and email communication skills, especially under time-sensitive conditions.
  • Provide a dependable in-office presence to learn, collaborate, and become a trusted contributor.

What We’re Looking For

  • Previous experience in dispatch, customer service, or office coordination preferred.
  • Professional, reliable, and consistent attendance — a dependable presence is key.
  • Excellent verbal and written communication skills; clear, direct, and courteous.
  • Confidence and composure when speaking with technicians or customers under pressure.
  • Friendly, solutions-oriented attitude with good judgment and teamwork skills.
  • Aptitude for learning; able to identify when to ask questions and seek guidance.
  • Intermediate proficiency with Microsoft Office tools and email etiquette.
  • Experience in industrial, HVAC, or construction-related environments helpful but not required.
  • Preference for ability / willingness to work an 8 hour shift with lunch break starting at 6:30-7AM.Will consider a shift start as late as 8AM. 

Work Environment and Growth

This role is based in the company’s North Austin Service Office, reporting to the local Service Manager. The office has a strong, collaborative team culture and advancement opportunities exist (for example, from Dispatcher → Estimating → Sales roles).
